“As simple as email seems as a concept, it can be very hard to manage for a small business such as ours. In the past, each of our users would send and receive email via Microsoft Outlook. We have generic emails addresses setup for our company, such as info@ or sales@ that must be read by specific individuals. One or more people would have to check these email accounts via Outlook then forward them to the correct recipient, which created another copy of the same initial email. When the correct person finally receives the email, their communication with the sender is isolated to within their Outlook application.”

Being able to track responses and response times are great benefits, as well. We also use the “Approval Queue” so managers can review outbound emails before they are actually sent to recipients. If a message is incomplete or incorrect, managers can notate the problems with the email and return it to the original sender for modification. This is a great training tool and allows us to catch any mistakes before they are sent out. Since MailFlow is a solution that resides on our servers, we do not worry about our customer communication residing at a 3rd party location. We do have to support the MailFlow server internally, but the support technicians at Deerfield are always available to help. They can even remotely troubleshoot any problems by remotely connecting into the server and fixing any issues. Make sure to pay for a service contract as it is well worth it.”
